Come prepared to talk about

How the work actually moves.

No documents or exports are needed. It helps if you can describe what happens after a new lead arrives, how estimates get created, how work is scheduled and assigned, where photos and documents live, and how completed work reaches billing.

The most useful answer is usually the messy one: where the process varies, breaks, or depends on someone remembering.

What we will ask

Scale and current stack.

Industry, employee count, locations, office versus field split, and which CRM you run today. If you are on Zoho, knowing which products are in use tells us a lot about how much of the operation lives outside the CRM.

Approximate record counts, custom modules, automations, and integrations shape migration scope, but rough numbers are fine at this stage.

Working session

A longer session to map systems, records, and handoffs in detail, with every finding marked as observed, inferred, or reported.

Blueprint review

We present the draft model, your team corrects what we got wrong, and only then does a replacement recommendation make sense.

Before the call

Do not send credentials or regulated data.

Scheduling is the only intake channel. There is no form, no upload, and no email destination, so nothing you would send in advance can be received. Passwords, API keys, payment data, health information, and private customer records should stay inside your systems. Secure transfer can be defined later if a Blueprint proceeds.
